Charge electric company cars at home and bill charging costs to the employer

reev offers even private individuals an easy, legally compliant and automated solution for charging a company car at home. All charging processes are recorded precisely by reev software with regard to the consumption. The electricity costs can be submitted to the employer for reimbursement, e.g. together with monthly expenses.

Note: To ensure the reimbursement of costs, the use of the charging station and the invoicing of charging processes must be agreed with the employer. However, this can be done after installation and commissioning of the charging station as well. The receipts can be submitted later. Please note that the receipts are not sent automatically to your employer, unless it is a business solution. You can also ask your employer to contact us directly for advice.

Are there any technical requirements of the wallbox to be complied with, in order to achieve a legally compliant billing for the reev model?

The hardware used must have an MID meter and be capable of baking. In addition, the hardware must be integrated into the reev Dashboard. The charging station does not necessarily have to comply with calibration law regulations. Network reception must be ensured at the installation site, as the charging station communicates via SIM card.

Can reev software be integrated in already installed charging stations?

If the charging station meets the technical requirements (see question above “Are there any technical requirements of the wallbox to be complied with (…)?”), the reev software can also be subsequently integrated into an already installed home charging station. For this purpose, reev coordinates the commissioning with the local electrician and sends the required materials (for example SIM card and commissioning instructions) to you or the electrician. The commissioning is quick and easy and is digitally accompanied by our support team.

Can other users use the charging station at home?

In principle, a access restriction must be set up at the charging stations at home in order to ensure individual consumption recording and legally compliant billing. An access restriction should therefore also be set up if the wallbox is not publicly accessible (for other people). Authorisation is possible via RFID-enabled employee ID, reev Key Fob or the reev app for drivers.

In the case of shared use of the home charging station, other users may also be entitled to charge at this station, e.g. partners, neighbours, or guests of the registered company car drivers. This should be defined individually between employer and employee, for example in an eCar policy. In this case, a company authentication system is recommended: for example, with a reev app or RFID card, company car drivers can be identified and differentiated from other users. This makes joint use possible while at the same time recording the charging processes separately and accurately. The receipts that the company car driver receives from reev show the charging costs for the company car. If he/she forwards the receipts to the employer for reimbursement of expenses, only the charging costs that were triggered by the authenticated company car driver and for business charging processes are sent to the employer.

How do employees authenticate themselves at the charging station at home?

Authentication takes place directly at the charging station. And can be done, for example, via RFID-enabled employee ID card, reev Key Fob or reev App.

Do I need to set up access control for the charging station at home?

Yes, an access restriction must be set up at the charging stations at home in order to ensure individual consumption recording and legally compliant billing of the official charging processes. An access restriction must also be set up if the wallbox is installed in a closed garage and no other users (e.g. family members, neighbours, life partners) can charge at the charging station.

In the online registration form , the company car driver must indicate whether other users have access to the station.

The access restriction at the wallbox at home can be set by the reev service team.

What are the functions of reev App?

With the reev app, drivers can, among other things, view and edit billing information, view the charging history and control charging processes via remote start and stop. From a tax and legal point of view, no extraordinary regulations apply to company car drivers. The reimbursement of service loading costs is a normal reimbursement of expenses. The electricity costs for the company car are subsequently reimbursed tax-free by the employer via a specifically generated receipt. Any reimbursement of electricity costs of private electric or hybrid electric vehicles, on the other hand, is taxable.

Which receipts do company car drivers get on a monthly basis?

The company car drivers receive a monthly email receipt of their own charging processes and charging costs at the charging station at home. A digital duplicate is sent to the employer. Please note that the receipts are not automatically sent to your employer as long as it is not a company solution. You are also welcome to contact your employer directly for advice.

Where and how can company car drivers register for charging at home?

Eligible drivers register via an online form. Required information includes address, contact details, electricity price (kWh price) as well as proof of this, e.g. an electricity bill or the electricity contract. After submission, the information will be checked by the reev support team.
