Automate charging station maintenance with the reev API, n8n and Airtable

How an Installer Network Automated Maintenance Compliance With n8n, Airtable, and Multi-Channel Notifications

Overdue maintenance is a compliance risk. Here’s how one installer network turned it into a zero-effort automated process — with reminders via Slack, SMS, and WhatsApp.

EV charging stations require regular maintenance. In Germany, this isn’t optional — legal service intervals apply, and missing one means regulatory exposure, potential fines, and liability risk.

For a single charging station, tracking service dates is straightforward. For a network of dozens of stations across multiple locations, managed by different field technicians, it becomes a logistical challenge that spreadsheets can’t reliably solve.

One of our installer partners faced exactly this — and solved it with a no-code automation workflow built in an afternoon.

The challenge: field technicians don’t check dashboards

The partner manages maintenance for a growing portfolio of reev charging stations. In theory, someone should check a list every week to see which stations are approaching their service deadline. In practice, that list lived in a spreadsheet — and the people who needed to act on it were in the field all day, not at a desk.

Occasionally, a maintenance deadline slipped past unnoticed until a compliance audit caught it.

The solution: automated reminders that reach technicians wherever they are

The partner built a workflow using n8n — an open-source automation platform — combined with Airtable and three notification channels: Slack, SMS, and WhatsApp.

Every morning at 9 AM, the workflow pulls the latest charging station data from the reev API, syncs it into an Airtable base, and checks which stations are overdue for service. It then notifies the responsible technician through their preferred channel — Slack for office-based team leads, SMS or WhatsApp for field technicians on the road.

Same data, same urgency — delivered wherever it’s most likely to be seen and acted on.

After sending a reminder, the workflow marks the station as “reminded” in Airtable to prevent duplicates. When the technician completes the service, they uncheck the flag and the cycle resets.

Why this matters

Compliance monitoring went from a task someone had to remember, to something that happens automatically every day. No spreadsheet checks. No reminder emails. No missed deadlines.

For the installer, that means lower compliance risk. For the operator, it means confidence that their infrastructure is properly maintained. For drivers, it means charging stations that work when they need them.

The entire workflow was built with free and open-source tools — n8n, Airtable, and our API. Total build time: one afternoon.
